{"id":5742,"date":"2026-03-25T19:32:34","date_gmt":"2026-03-25T10:32:34","guid":{"rendered":"https:\/\/pvision.jp\/apps\/?p=5742"},"modified":"2026-03-25T22:16:38","modified_gmt":"2026-03-25T13:16:38","slug":"simpleflow-user-guide-en","status":"publish","type":"post","link":"https:\/\/pvision.jp\/apps\/2026\/03\/25\/simpleflow-user-guide-en\/","title":{"rendered":"SimpleFlow User Guide"},"content":{"rendered":"\n<p>This guide explains how to operate cards using SimpleFlow and how board administrators can configure it.<\/p>\n\n\n\n<p><strong>Note:<\/strong><br>The current workflow position is referred to as:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cStep\u201d in the end user guide<\/li>\n\n\n\n<li>\u201cState\u201d in the admin guide<\/li>\n<\/ul>\n\n\n\n<p>They refer to the same concept.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">End User Guide<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Card Operations<\/h3>\n\n\n\n<p>When you open a card, a SimpleFlow section will appear.<\/p>\n\n\n\n<p><strong>Step<\/strong><br>Displays the current step of the workflow.<\/p>\n\n\n\n<p><strong>Actions<\/strong><br>Shows buttons for actions available at the current step.<br>Clicking a button executes the action and moves the workflow forward.<\/p>\n\n\n\n<p><strong>Activity Log<\/strong><br>If \u201cLog\u201d is enabled in the workflow definition, changes are recorded in the card\u2019s activity.<\/p>\n\n\n\n<p><strong>Initialize Card<\/strong><br>When a card is newly created, an \u201cInitialize\u201d button appears.<br>Clicking it sets the card to the initial workflow step and starts the workflow.<\/p>\n\n\n\n<p><strong>Q: What if the step shows \u201cUndefined\u201d?<\/strong><br>A: This happens when the corresponding state has been deleted in settings.<br>A board administrator must manually assign a valid state.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Admin Guide<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Card Operations<\/h3>\n\n\n\n<p><strong>Direct State Change<\/strong><br>Admins can directly change the state on a card.<br>All states are shown as buttons, allowing manual selection.<\/p>\n\n\n\n<p>This is useful for handling exceptions or fixing undefined states.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Power-Up Settings<\/h3>\n\n\n\n<p>Open the SimpleFlow settings from the board Power-Up menu.<\/p>\n\n\n\n<p>Only users with board admin permissions can configure settings.<\/p>\n\n\n\n<p><strong>If there are multiple admins:<\/strong><br>If multiple admins edit settings at the same time, changes may overwrite each other. Avoid concurrent edits.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Workflow Management Tab<\/h4>\n\n\n\n<p>Define workflows using the state transition table.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">\u25a0 State Definition<\/h5>\n\n\n\n<p><strong>Add State<\/strong><br>Click \u201cAdd State\u201d to add a new state.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>\u201cCompleted State\u201d: Marks the card as complete when entered<\/li>\n\n\n\n<li>\u201cShow as Step\u201d: Includes the state in visible workflow steps<\/li>\n<\/ul>\n\n\n\n<p><strong>Edit<\/strong><br>Click a state to edit its name and settings.<\/p>\n\n\n\n<p><strong>Delete<\/strong><br>Deleting a state also removes related transitions.<\/p>\n\n\n\n<p>If a deleted state is in use on a card, the card becomes \u201cUndefined.\u201d<\/p>\n\n\n\n<p>TODO: Add a feature to check whether a state is used in cards (may take time for large boards)<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">\u25a0 Transition Definition<\/h5>\n\n\n\n<p>Click a table cell to define or edit a transition.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Row: From state<\/li>\n\n\n\n<li>Column: To state<\/li>\n<\/ul>\n\n\n\n<p><strong>Action<\/strong><br>Select or create an action.<\/p>\n\n\n\n<p><strong>Approvers Only<\/strong><br>Restrict execution to registered approvers.<\/p>\n\n\n\n<p><strong>Log<\/strong><br>Record the action in the card activity.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Action Management Tab<\/h4>\n\n\n\n<p>Define actions that trigger transitions.<\/p>\n\n\n\n<p><strong>Add Action<\/strong><br>Add a new action to the list.<\/p>\n\n\n\n<p><strong>Edit<\/strong><br>Click an action to edit it.<\/p>\n\n\n\n<p><strong>Delete<\/strong><br>Delete an action from the edit screen or directly from the list.<\/p>\n\n\n\n<p>If an action is used in transitions, deleting it will also remove those transitions.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">Settings Tab<\/h4>\n\n\n\n<h5 class=\"wp-block-heading\">\u25a0 Card Settings<\/h5>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Automatically mark as complete<\/li>\n\n\n\n<li>Copy state to custom field<\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\">\u25a0 Workflow Settings<\/h5>\n\n\n\n<p>Define the initial state for newly created cards.<\/p>\n\n\n\n<p>The initial state is the starting point of the workflow.<br>Clicking \u201cInitialize\u201d on a new card sets the card to this state.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">\u25a0 Approvers<\/h5>\n\n\n\n<p>Register users who can perform approval actions.<\/p>\n\n\n\n<p><strong>Candidates<\/strong><br>List of board members.
