This guide explains how to operate cards using SimpleFlow and how board administrators can configure it.

End User Guide

Card Operations

When you open a card, a SimpleFlow section will appear.

Step
Displays the current step of the workflow.

Actions
Shows buttons for actions available at the current step.
Clicking a button executes the action and moves the workflow forward.

Activity Log
If “Log” is enabled in the workflow definition, changes are recorded in the card’s activity.

Initialize Card
When a card is newly created, an “Initialize” button appears.
Clicking it sets the card to the initial workflow step and starts the workflow.

Q: What if the step shows “Undefined”?
A: This happens when the corresponding state has been deleted in settings.
A board administrator must manually assign a valid state.

Admin Guide

Card Operations

Direct State Change
Admins can directly change the state on a card.
All states are shown as buttons, allowing manual selection.

This is useful for handling exceptions or fixing undefined states.

Power-Up Settings

Open the SimpleFlow settings from the board Power-Up menu.

Only users with board admin permissions can configure settings.

If there are multiple admins:
If multiple admins edit settings at the same time, changes may overwrite each other. Avoid concurrent edits.

Workflow Management Tab

Define workflows using the state transition table.

■ State Definition

Add State
Click “Add State” to add a new state.

Edit
Click a state to edit its name and settings.

Delete
Deleting a state also removes related transitions.

If a deleted state is in use on a card, the card becomes “Undefined.”

TODO: Add a feature to check whether a state is used in cards (may take time for large boards)

■ Transition Definition

Click a table cell to define or edit a transition.

Action
Select or create an action.

Approvers Only
Restrict execution to registered approvers.

Log
Record the action in the card activity.

Action Management Tab

Define actions that trigger transitions.

Add Action
Add a new action to the list.

Edit
Click an action to edit it.

Delete
Delete an action from the edit screen or directly from the list.

If an action is used in transitions, deleting it will also remove those transitions.

Settings Tab

Define the initial state for newly created cards.

The initial state is the starting point of the workflow.
Clicking “Initialize” on a new card sets the card to this state.

■ Approvers

Register users who can perform approval actions.

Candidates
List of board members. Select users to add as approvers.

Approvers
List of registered approvers. Select users to remove them.
